We act for a range of companies providing the following common core services, throughout England and Wales:
  • Demanding and collecting rent
  • Administering and auditing services charges
  • Demanding and collecting services charges
  • Administering and collecting insurances
  • Clear and prompt statements to clients with early payments on account
  • Recording lease details and events including breaks, review dates, expiries etc

We use a bespoke database application for accounting purposes and we have created a web based portal that allows our clients to login and view various sets of information from our database. The information is password protected and encrypted to prevent unauthorized access. The web portal receives information from our server to prevent modification of records and information by others.

The type of information available includes:

  • Property information
  • Financial reports
  • Copy legal documents leases plans and licences
  • Tenant records and information

The web portal allows clients to login and view details of all of their properties, modify some of their personal information such as email address and notification preferences, and view financial reports. In addition they are able to set reminders for various tasks and have a secure email channel for communication relating to financial information between the parties.

The application in addition allows tenants to login and view information and documents relative to their own premises, report faults and directly communicate with their dedicated property manager.

The system will have a seperate reminder facility which will enable clients, tenants and our team to set reminders and be notified by email or SMS. The reminders can be set to send notifications such as that new financial reports are available, an event has occurred (e.g. rent received or paid) etc. Clients will be able to choose how and when (if at all) they receive these notifications.
